General Information
The workshop module addresses the needs of the workshop team in managing the fleet of assets. This includes the servicing and repairs, tracking of defects as well as maintaining required parts and inventory.
User Permissions
All users with access to the system will be able to view all information in the workshop module including assets, defects, parts and inventory. Users who have been added to the COP_Workshop AAD group will also be able to create and edit all information.
Workshop page
The workshop page displays a series of tiles highlighting important aspects that may require the attention of the workshop team.
Working with multiple depots
If you have multiple workshop depots, you will have the ability to apply a depot filter to the values shown on the tiles on the workshop page. By default, the filter will apply the depot you are assigned to in your Staff Profile, but you can change that by selecting a different depot, selecting multiple depots or of course not filtering by any depot. Tiles
- Unacknowledged Defects - shows a count of defects that have been raised but have yet to be acknowledged
- Future Tasks - shows a count of tasks that have not been scheduled
- Overdue Jobs - shows the number of jobs that are still in progress and have gone past their scheduled end time
- Tasks Requiring Sign-Off - shows the number of tasks that have been completed by the mechanic, but have not received sign-off from the foreman
- Incomplete Machinery Defects - shows a count of machinery defects that still need to be resolved
- Vehicles Marked Out of Service - shows a count of vehicles that are currently off the road
- Pending Leave - shows how many leave requests have been raised by workshop staff that need to be reviewed
- Unaccepted Conflicts - shows any conflicts in mechanic shifts that may need to be resolved
- Unbooked COIs Due This Week - counts how many vehicles have an inspection due within the next 7 days (or in the past) that have not yet been scheduled
- Assets with CUBIC form to be sent - shows a count of any CUBIC updates which still require a form to be sent
- Rebooked tasks - Parts Required - shows the number of tasks that have been created as a result of needing to be rebooked when parts are available
- Failed data fuel entries - shows if any data fuel uploads have failed to match on an asset
- Failed data fuel auto uploads - shows if any auto data fuel uploads have failed to process
Top Tasks
- Raise a Defect - allows workshop staff to raise a new defect. See Raising a Defect for more information.
- Create a Job - allows workshop staff to create a new job
- Services Due By Date - displays when assets are coming due for their next service based on how many days away their service is due
- Services Due By Kms - as above, but based on how many kms the asset is away from its next scheduled service
