Preventative maintenance lets you plan when major components on your assets should be serviced or replaced. For each asset, you define which components need tracking, how often they should be serviced, which parts and checklists apply, and what the current status is.
When a service is due, you schedule it from the Services Due list into a workshop job. When the job is completed, the system automatically updates the component's service history and calculates the next due date or kilometres.
Each asset has its own PM Plan, accessed via Manage Asset → Servicing tab → PM Plan. This is where you define the components and their service intervals for that specific asset.
When an asset is created, its component list is pre-populated from the master list of Component Types. You can then customise the plan for this asset — removing components that don't apply, adjusting intervals, and linking parts and checklists.
Open the PM Plan for the asset (Manage Asset → Servicing → PM Plan).
Click the Edit button ✏.
To remove a component that doesn't apply to this asset, click the delete icon 🗑️.
❕Note: You can undo this before submitting using the ↺ button.
To add a component from the master list, click + Add Component. Components already on the plan appear greyed out and cannot be added again.
Click Submit to save.
For each component, you can set the interval that determines when service is due. Three interval types are available:
| Interval Type | How it works |
|---|---|
| Days | Service is due after a set number of days from the last service date. |
| Kms | Service is due after a set number of kilometres from the last service odometer reading. |
| Days or Kms | Service is due when either the day interval or the km interval is reached — whichever comes first. |
Use Days or Kms for components where either time or distance could cause wear, such as engine oil on vehicles that may sit idle for extended periods.
Use Override Service Date and Override Service Kms to set a starting point for a component that hasn't been serviced through the system before. This initialises the schedule so the system can calculate when the next service is due.
Parts and checklists for each component are configured directly on the PM Plan:
In the PM Plan edit view, click the edit icon on a component row.
In the popup, select the Checklist to include when a service for this component is scheduled.
If the component is replaced with a specific part, select it under Part.
If the service requires a parts kit, select it under Parts Group.
❕Note: If both a Part and Parts Group are set, both will be combined and added to the task when the service is scheduled.
Click OK to save.

The Components Register (also under the Servicing tab) is used primarily to record serial numbers for components on this asset — for example, the serial number of the current battery or turbo. This is useful for warranty tracking and auditing.
Service intervals, parts, and checklists are configured on the PM Plan, not the Components Register.

To see only preventative maintenance services (excluding general scheduled jobs), apply the filter Preventative Maintenance Services = Yes.
Export from the assets list page to get a summary of all components across all assets, including service intervals, last service date and km, and next service due date and km.
❕Note: Only one scheduled PM task per component is permitted at a time. Complete the existing task before scheduling a new one.
When a PM service task is completed, the system automatically updates the component's record:
For components using Days or Kms, the system tracks both and will flag the component as due when either threshold is reached.
