Overview

A quote holds everything about a piece of charter work: the customer, the trips and their routes, the vehicles and prices offered, and the notes for the customer, drivers and Operations. It starts with a status of Quoted. When the customer accepts, the same record is booked and jobs are created for Operations.

This article walks through creating a quote from start to finish.

To start a quote, navigate to Sales and click Create a Quote under Top Tasks, or navigate to Sales → Quotes and click ➕ in the header.

User permissions

Creating and editing quotes requires the Sales role. Other users can open a quote but cannot edit it, and Create a Quote is not shown to them.

Before you start

A quote draws on your Sales configuration. Set these up first:

How Booking Changes Affect Jobs

Step 1: Enter the quote details

Field Description
Customer Start typing to search your customers. Required. To add a customer who is not in the list, click ➕ (Create new customer).
Contact The person at the customer organising the trip. Available once a customer is chosen. To add one, click ➕ (Create customer contact).
Sales Person The sales person responsible for the quote. Required.
Depot The depot the work runs from. Required. Vehicle availability is checked against this depot. It cannot be changed if you have only one depot.
Trading Company The company the quote is sold under. Required. Shown only if you have more than one.
Quote Type The kind of charter. Required. Only the selected trading company's quote types are offered.
Booking Description (Shown on all trips unless a Trip Specific Description is entered) A short description of the work. Required.
Booking Attachments PDF files for the drivers of every trip.

❕Note: Choosing a different Customer clears the Contact. Choosing a different Trading Company clears a Quote Type that belongs to another company.

❕Note: Choose the Quote Type before adding options. Some quote types have their price entered by hand, and changing to or from one of them removes the options already on the quote.

❕Note: Quote types are set up for your organisation during onboarding. To add or change a quote type, email Triple D Support.

Creating a customer from the quote

  1. Click ➕ beside Customer.
  2. In Create a customer, enter the Name, choose whether the customer has a trading account, and enter the Phone and Email. These four are required. The billing and other addresses are optional.
  3. Click Submit.

The new customer is selected on the quote. Add a Customer Tier and contacts later from the customer's own page.

Step 2: Add the trip and its routes

A new quote has one trip, shown on the Trip tab. A trip is one journey: a run of stops with dates and times.

Field Description
Trip 1 Description A description for this trip only, printed in place of the booking description. Optional.
Passengers The number of passengers.
Trip 1 Attachments PDF files for the drivers of this trip's jobs.
Trip 1 Notes Notes for the drivers of this trip, in addition to the Driver Notes for all trips.

Entering the routes

Each row of the Routes table is a stop.

  1. Enter the Date.
  2. Under Location, start typing to search your boarding points. To add one that is not in the list, click ➕ (Add Location).
  3. Enter the Arrive and Depart times.
