Overview
Shifts are a template used to hold the information required for creating jobs. Once created, shifts can be added to rosters which are used to generate a work schedule for staff members or used independently to create one off adhoc jobs as needed.
PDF attachments can be uploaded to shifts for viewing on the Driver’s Tablet or the Driver’s Kiosk & Driver’s App.
Vehicles can be allocated to shifts so that any jobs generated from that shift will automatically have that vehicle allocated.
Creating a shift

Navigate to Operations → Shifts.

Click ➕ in the header to add a new shift.

On the Create a Shift page, enter the relevant shift details & click Submit.
❕Note: All fields marked with * are required.
❕Note: Shift Name must be unique.
Viewing shifts
- Navigate to Operations → Shifts.
- Find the ****shift you want to view using the search tool 🔍 to narrow the results.
- Click the Shift Name to open the Manage Shift page.
Editing shifts
- From the Manage Shift page, click the edit icon ✏ in the header.
- Make the required changes to the details of the shift.
- Click Submit to save the changes, .
Deleting a shift

Select Delete Shift from the Triple Dot Menu inside the shift.

You will be prompted to confirm the deletion the shift.

Click Ok to proceed
❕Note: Any jobs that have already been created from the shift you’re deleting will remain in place.

Shift components
- Shift Name
- The Shift name is the unique identifier of the shift. If you’re creating an adhoc job or adding a shift to a roster, you will be selecting the shift by its shift name.
- Shift Type
- The shift type controls a number of things.
- What kind of job gets created
- Where you see that job, Urban Diary v’s School Diary etc
- The fields you’re required to fill out in the schedule section. Clock on & Clock off v’s a full schedule of Depart Depot, Shift Commence, Shift End, Arrive Depot.
- Whether a staff member needs a valid Driver’s Licence & Driver’s Authority to be allocated to the job that gets created from the shift.
- Description
- The shift Description appears in various places to give more information to both the Operations team & the staff allocated to the job. When a job is created, the description in the shift becomes the job description.
- Runs on Public Holidays:
- ****This field allows you to specify whether a job will be created from the shift, if a public holiday falls within the date range of the jobs being generated.
- Days of Week
- The days of the week selected in the Shift, determine which days of the week will be available for you to select from when this shift is added to a roster.
- Skip Predeparture Checks
- Determines whether to present the driver with the vehicle predeparture checks when commencing a job from the driver’s tablet.
- A common example of when this might be used is an Urban shift where the same vehicle is on the job all day but the drivers change over part way through a run, possibly with passengers on board. You want to make the changeover as quick & easy as possible. In that example, the AM shift would have Skip Predeparture Checks set to No & the PM shift would have Skip Predeparture Checks set to Yes. The AM driver does the checks, the PM driver does not.
- Shift Notes
- These notes are shown to drivers on the driver’s kiosk, the Daily Summary Sheet, the Driver’s Tablet & the Driver’s App.
- Schedule
- Sets the hours for the shift, using 24 hour time, enter the clock on & clock off time and any unpaid breaks. On a driving shift this will also include when they depart and return to the depot & when their shift commences and ends.
- Staff Member Requirements
- You can set specific staff requirements in the shift which will limit the staff available when it comes time to allocate, to those that match the requirements. If no requirements are set, all staff will be available to allocate. The requirements you have available to select from, come from the Skill Specs section.
- Vehicle Requirements
- You can set specific vehicle requirements in the shift which will limit the vehicles available when it comes time to allocate, to those that match the requirements. If no requirements are set, all vehicles will be available to allocate. The requirements you have available to select from, come from the Tech Specs section inside workshop.
Driving Shift fields

- Schedule
- When a driving shift is selected the schedule will expand to accommodate new time fields relevant to drivers.
- Vehicle Movements
- Only found on a driving shift, this defines which depot the driver will leave from & return to as well as if they are departing or arriving in a car.
- Allocations
- This section allows you to allocate a vehicle to this shift. If you allocate a vehicle, the jobs created from the shift will have that vehicle allocated. If you leave this blank, the jobs will be generated without a vehicle & it can be assigned later.
