Overview
The Jobs With Progress Warnings Tile and the Progress Warnings Page that it links to, are designed to assist operations staff with ensuring accurate recording of kilometers against jobs and reducing the number of unknown K’s entries . The jobs that get flagged as having Job Progress Warnings, need to be checked because of a discrepancy between the expected tablet progress and the actual tablet progress. These jobs need further investigation and some action needs to be taken to either fix the problem with the tablet progress or dismiss the warning if no action needs to be taken.
What each of the progress warnings means
- Late relocating to site
- Late departing depot on a charter by more than 10 minutes.
- Charters are the only job type that have a ‘Relocating to Site’ job status on the tablet, so this warning is exclusive to charters.
- Late in progress
- Charter - The ‘In Progress’ status on a charter job occurs when the driver arrives at the pickup point and presses the ‘Arrived On Site’ button.
- If the driver hasn’t pressed the Arrived on Site button by 10 minutes after the scheduled On Site time, the Late in Progress waring will be triggered.
- School, Urban, Rail or other job types - The ‘In Progress’ status occurs when the driver starts the job at the depot. In the majority of cases, this means completing the predeparture checks.
- If the job hasn’t been started by 10 minutes after the scheduled Depart Depot time, the Late in Progress warning will be triggered.
- Finished ahead of time
- The driver records the finished status more than 30 minutes before the scheduled Arrive Depot or Finish time.
- Zero kilometres travelled
- The start odometer matches the end odometer.
- Not finished on tablet
- Finished status not recorded on the tablet.
Corrective actions for jobs with progress warnings.
The first step is to determine whether any action needs to be taken or whether the warning can just be dismissed. To do that, you need to find out what actually happened using the vehicle’s GPS tracking software and then compare that against the tablet progress.
- Late relocating to site
- Check whether the driver actually left the depot late or did they leave on time & forget to record the progress in the tablet.
- If the driver did leave late, and the times in the progress entries match the times in the GPS tracking, there is nothing to fix. The course of action for this situation is to dismiss the warning using the tick on the right hand side of the Jobs Progress Warnings page.
- If the driver left on time but forgot to use the tablet until later, the distance travelled before they remembered to use the tablet, won’t be allocated to any jobs. Those kilometres will be recorded as an unknown K’s entry. To fix this situation and prevent the unknown K’s entry, the tablet progress needs to be changed on the job to show a Relocating To Site status at the time they actually left the depot. Once the job progress has been fixed, the progress warning can be dismissed using the tick on the right hand side of the Jobs Progress Warnings page.
- Late in progress
- Charter - Check the time the driver arrived & departed the pickup point. Were they late or did they forget to record the progress in the tablet?
- If the driver was late, and the times in the progress entries match the times in the GPS tracking, there is nothing to fix. The course of action for this situation is to dismiss the warning using the tick on the right hand side of the Jobs Progress Warnings page.
- If the driver left on time but forgot to record the progress in the tablet until later, the tablet progress should be changed to reflect what actually happened. Once the tablet progress has been fixed, the progress warning can be dismissed using the tick on the right hand side of the Jobs Progress Warnings page.
- Finished ahead of time.
- Check whether the job actually finished early or whether the driver accidentally pressed the finish button & then drove back to the depot without recording any K’s.
- If the job finished early, there is nothing to fix. The course of action for this situation is to dismiss the warning using the tick on the right hand side of the Jobs Progress Warnings page.
- If the driver made a mistake & accidentally finished early, the tablet progress should be changed to reflect what actually happened. Once the tablet progress has been fixed, the progress warning can be dismissed using the tick on the right hand side of the Jobs Progress Warnings page.
- Zero kilometres travelled.
- Check whether the vehicle was driven.
- If it wasn’t driven, there is nothing to fix. The course of action for this situation is to dismiss the warning using the tick on the right hand side of the Jobs Progress Warnings page.
- If it was driven, check the times of the start & finish progress entries. If the start & finish progress entries match the times the vehicle started & stopped driving, there could be a problem with the GPS tracking software.
- Not finished on tablet.
- Insert a finished status at the appropriate time & then dismiss the warning using the tick on the right hand side of the Jobs Progress Warnings page.
