Overview
The adhoc job page allows you to create individual, one off jobs for all job types. By selecting a shift or booking number when creating the adhoc job, the information already contained inside the shift or booking will be automatically transferred into the adhoc job where modifications can be made if necessary. Adhoc jobs can also be created for standalone job types such as Breakdown, Test Drive etc, that are not linked to either a shift or booking. When creating an adhoc charter job, the newly created job will become part of the booking selected during the creation process.
Creating an adhoc job
- Navigate to Operations → Top Tasks → Create Adhoc Job
- Select a job type from the dropdown.
- The job type selected will determine the fields that appear, which fields are mandatory & whether or not the job can be or must be linked to a booking.
- Fill out the required fields & any optional fields required for the selected job type.
- select the reason for the ad-hoc job
- Click submit to create the job.
Adhoc charter & charter related jobs
Certain job types can be linked to charter bookings. If you’re creating an adhoc charter job, selecting the booking & trip number are mandatory whereas other job types such as driver or vehicle relocation, charter staged or operations supervisor can be linked to a charter booking, but can also be created as individual stand alone jobs that are not linked to a booking.
Adhoc rail & rail related jobs
Certain job types can be linked to rail bookings. If you’re creating an adhoc rail, rail supervisor, rail marshaller or rail customer service job, selecting a rail booking is mandatory while job types such as driver or vehicle relocation can be linked to a rail booking but can also be created as individual stand alone jobs that are not linked to a booking.
Adhoc jobs created from shifts
Selecting a shift to create an adhoc job from, will prefill the adhoc job page with the information already contained inside the shift. The only extra information required when creating an adhoc job from a shift is the adhoc reason.
Standalone Adhoc jobs
If you select a job type that can be created as a standalone job that doesn’t need to be linked to a booking or come from a shift, you will notice that the shift number and or booking number fields are either not present or not mandatory.
Job types such as breakdown, test drive, workshop, vehicle relocation & driver relocation, general training can be created as standalone jobs.
General Ad-hoc job fields
- Job Type - the job type selected will determine
- The fields that appear
- which fields are mandatory
- Whether or not the job can be or must be linked to a booking
- What type of job gets created.
- Where the job will appear, charter diary, urban diary, school diary etc.
- Whether or not fields can be pre-filled by selecting a shift, charter or rail booking.
- Description
- The description appears in various places to give more information to both the Operations team & the staff allocated to the job.
- Skip Predeparture Checks
- Determines whether to present the driver with the vehicle predeparture checks when commencing the job from the driver’s tablet, if applicable.
- Schedule
- Sets the hours for the job, using 24 hour time, enter the clock on & clock off time and any unpaid breaks. On a driving job this will also include when they depart and return to the depot & when their job commences and ends.
❕Note: when selecting a charter, rail or contract charter job type, some of the schedule fields may be pre-filled.
- Vehicle Movements
- Defines which depot the driver will leave from & return to as well as if they are departing or arriving in a car.
- Allocations
- Allows you to allocate a vehicle, staff member or subcontractor, depending on the job type selected. If you leave these fields blank, the job will be generated without a vehicle or staff member & they can be assigned later.
- Staff Member Requirements
- Setting staff member requirements, limits the staff available for allocation, to those who match the requirements. If no requirements are set, all staff will be available. Staff member requirements come from the Skill Specs module.
- Vehicle Requirements
- Setting vehicle requirements, limits the vehicles available for allocation, to those that match the requirements. If no requirements are set, all vehicles will be available.
- In the ad-hoc job, you can limit the vehicles eligible for allocation by setting specific requirements. If no requirements are set, all vehicles are available. Vehicle requirements come from the Tech Specs module.
Allocations fields
- Has subcontractor:
- If set to yes, the staff member & vehicle fields will be removed & replaced by a dropdown allowing you to pick from a list of subcontractors.
- Two-up job?:
- Allows the allocation of a second driver to the job.
Charter specific fields
- Quoted Vehicle Type: Select the quoted vehicle type so that the operations team know what size vehicle to allocate.
- Facilities: You are able to add extra’s to the job here.
- Routes: The Routes for the job will be pre-filled from the booking, however you are able to make changes to the routes and add extra stops within the ad-hoc job page.
Contract Charter fields
- Customer: Select the customer that the contract charter is for.
- Charter contract: Select the contract the job will be assigned to.
