Heavy vehicle inspections are periodic inspections for certain vehicle types — such as heavy vehicles, buses, and booked hire vehicles — to ensure they comply with minimum safety standards. Depending on your state, this may be known as an HVIS (Heavy Vehicle Inspection Scheme) inspection or a COI (Certificate of Inspection).
When scheduling a vehicle for a heavy vehicle inspection, the mechanical team typically performs preparation tasks first to ensure the inspection goes smoothly. Central-Ops supports defining these preparation tasks in a template so they can be scheduled in one step alongside the inspection itself.
The Machinery Template defines the default list of preparation tasks — including their task type, checklist, and description — that will be pre-populated when scheduling a heavy vehicle inspection. To edit the template:
Navigate to Workshop → Configuration → Machinery Template.
Click the Edit button ✏️.
Define the tasks in the template:
Click ➕ Add Task to add a new preparation task.
Click 🗑️ on a row to remove it from the template.
❕Note: The Machinery Inspection task itself cannot be deleted.
Use the arrows to reorder tasks.
❕Note: The Machinery Inspection task cannot be reordered.
Click Submit to save.

Any workshop task can be made visible on the HV Machinery Schedule calendar view by enabling the For Machinery Schedule setting on the task. This is useful when ad-hoc tasks relating to a vehicle's inspection readiness need to be tracked on the schedule without being formally linked to a scheduled inspection.
To enable this on a task:
The task will now appear on the Machinery Schedule calendar alongside formally scheduled inspection preparation tasks.
Navigate to Workshop → Jobs → HV Machinery Schedule.
Click the > button on the left margin to expand the HV Inspections Due list.
Find the vehicle and click the calendar button 🗓️ to open the Schedule Machinery window.
The window shows the list of tasks pre-populated from the template. You can adjust this list:
Enter a scheduled start and end time for all tasks.
❕Note: All preparation tasks must be scheduled before the Machinery Inspection task.
Click Submit to create and schedule all tasks for this vehicle.
