Overview

Part categories are used to define a common general ledger (GL) codes for parts. When creating a purchase order budget report, the cost of parts are summarised and grouped into their relevant part category as shown below:

Creating a part category

  1. Navigate to WorkshopConfiguration → Part Categories.
  2. Click in the header to create a new part category.
  3. On the Create a Part Category page, enter the relevant details and click Submit. Note: The description must be unique.

Viewing part categories

  1. Navigate to WorkshopConfiguration → Part Categories.
  2. Find the parts category you want to view using the search tool 🔍.
  3. Click on the Description to open the Manage Part Category page.

Editing parts categories

  1. From the Manage Part Category page, click the edit icon ✏️ in the header.

  2. Make the required changes, including editing the Description or adding or removing a GL Code.

    Note: If changing the description, the new description must be unique.

  3. To save the changes, click Submit.

Deleting a part category

From the Manage Part Category page, click Delete Part Category from the Triple Dot Menu. Depending on the status of the parts that are associated the part category (if any), you will be presented with one of the following options:

Scenario 1: The part category has no parts linked.

  1. You will be prompted to confirm that you want to delete the part as shown below.
  2. Click Delete to delete the part category.

Note: This action is permanent

Scenario 2: The part category has parts linked, but they are all inactive.

  1. In this scenario you won’t be able to delete the part category unless you unlink all the listed parts from the part category. You will however be able to mark the part category as inactive as shown below. Marking the part category as inactive will mean it will be hidden from the list of part categories you associate with a part.
  2. Click Mark As Inactive when prompted.
  3. Note: See below for how to make a part category active again

Scenario 3: The part category has parts linked which are active.

  1. In this scenario, you won’t be able to delete the part category or make it inactive unless you unlink all the parts shown in the linked parts, or update the active parts to be inactive.

Reactivating a part category

To reactivate a part category:

  1. From the Manage Part Category page, click Mark as Active on the Triple Dot Menu.
  2. When prompted to confirm, click Mark Active.
