Overview
Asset documents are files uploaded against workshop assets that can be made available on the driver's tablet and the Mechanics Kiosk. This lets you share relevant documents — such as operating manuals, safety data sheets, or pre-start guides — directly with drivers and mechanics without requiring them to contact the office.
Documents are managed by workshop administrators from Workshop → Assets.
Uploading a document to an asset
- Navigate to Workshop → Assets and open the asset.
- Select the Attachment tab.
- Click + Add Attachment.
- Upload the PDF file and enter a name for the document.
- Set Available On Driver Tablet to Yes if the document should be visible to drivers on the fleet tablet.
- Click Submit to save.

Linking a document to multiple assets
Rather than uploading the same document separately to each asset, you can link a single document to multiple assets at once using category, subcategory, or tech spec filters.
- Navigate to Workshop → Assets.
- Under Top Tasks select Manage Documents.
- From the Documents list, select an existing document, or select ➕ to add a new document
- Specify if the document is Available on Drivers Tablet.
- Use the Add Assets option to select individual vehicles
- Use the Bulk Add Assets to set filters to add multiple vehicles:
- Category (Fleet or Plant)
- Subcategory (Bus, Car, Truck, Trailer, etc.)
- Tech Spec (e.g. Wheelchair Lift Fitted = Yes)
- Apply the filter to link the document to all matching assets.
This is useful for documents that apply to a class of vehicles — for example, a pre-start guide that applies to all buses, or an MSDS that applies to all assets with a particular engine type.
Replacing an existing document
To replace a document with a newer version:
- Navigate to the Manage Document page
- Select the document to be replaced by clicking its name.
- Open the Triple Dot Menu on the document and select Replace Document.
- Upload the updated file and save.
The updated file will be reflected on the tablet and kiosk for all assets the document is linked to.
Where documents are visible
Driver's tablet
Documents marked Available On Driver Tablet = Yes are visible to drivers on the fleet tablet. Drivers can access these from the asset view during their pre-departure check or shift.
Mechanics Kiosk
Mechanics can view asset documents directly in the Kiosk when working on a job:
- Asset Documents — available under the Asset Details tab when viewing a vehicle in the Kiosk
- Task Attachments — documents uploaded against a specific completed task are visible under the Completed Jobs tab for that asset
This allows mechanics to access manuals, specifications, or previous job notes without leaving the Kiosk.
