Overview

The Driver's Kiosk is the shared device drivers use at the depot to interact with Central-Ops for their day-to-day work - clocking on and off, viewing job details, and handling most of their admin without needing to speak to operations.

On the kiosk, a driver can:

The kiosk also shows drivers automated reminders about incomplete jobs, submitting their timesheet, expiring licences, and when they're on leave.

Driver daily workflow

  1. Driver clocks on at the kiosk.
  2. Driver signs into the tablet in the bus and records tablet progress as they push buttons to progress through the job.
  3. Driver enters the completion details into the kiosk at the end of the day and completes the jobs.
  4. The completed jobs appear on the driver's timesheet.

Clocking on

To start the day, the driver enters their employee ID on the kiosk PIN pad (using either the mouse or the keyboard), then accepts the fitness for work statement. Once accepted, they land on the homepage.

The homepage

The homepage lists the driver's jobs for the current day in time order. Use the arrows at the top of the screen to look up to 7 days ahead or back at previous days, and click View Today's Jobs to return to the current day.

Job cards

Each job card shows:

If a job has notes or attachments, click the blue button to view them - attachments open in a print window so they can be printed if needed.

Each job has an Acknowledge button. Acknowledging a job tells operations the driver has seen it and agrees to do it. Drivers who acknowledge jobs ahead of time and keep checking back each day will see the Acknowledge button reappear on any job that's changed, or on any new job that's been added, so they know to review it again.

Printing paperwork

Drivers have the option of printing a Daily Summary Sheet to take it with them each day. It lists all of the day's jobs and gives space to record kilometres and times for each one, plus predeparture checks and any pre-existing vehicle damage.

Charter and rail jobs have their own print buttons, shown only on the days those jobs occur.

Completing jobs at the end of the day

At the end of the day or shift, the driver returns to the kiosk and enters completion details for each job:

<aside> 📝 Every job shows an estimated clock off time, but the driver enters or confirms the actual time. Before the estimated time has passed, the kiosk shows the current time in the clock off field; once it's passed, the kiosk shows the estimated time instead, and it's up to the driver to correct it. There is an option in Operations Settings called ‘Use scheduled finish as completion time’ setting this to yes means the scheduled finish time will be populated even when the driver is entering the details before that time.

Example: With the ‘Use scheduled finish as completion time’ set to no. A job's estimated finish is 1:00pm. If it actually finished early and the driver is at the kiosk at 12:30pm, the clock off field shows 12:30pm (the current time, since the estimate hasn't passed yet). If the job ran late and the driver isn't at the kiosk until 2:00pm, the field shows 1:00pm (the estimate) and the driver needs to change it to claim the extra time.

</aside>

If a job runs longer than scheduled, the driver is asked for a reason when extending it. The times entered, plus any extension reasoning, feed straight through to the timesheet.

<aside> ❗ If completion details for a job are missed, the kiosk shows a reminder to go back and complete it. Jobs that aren't completed don't appear on the timesheet.

Opening and closing the kiosk

Clocking on and clocking off normally happens once a day - clock on at the start of the day, then close the kiosk to go out & do the job, log back into the kiosk at the end of the day to enter completion details and clock off. The kiosk can be opened and closed as many times as needed through the day without affecting clock-on status.

Continuation jobs

When two or more jobs run back to back without returning to the depot in between, operations can join them into a continuation. Continuation jobs look slightly different on the kiosk, in their paperwork, and on the tablet, but the completion process is the same.

Timesheets

Accessed from the menu in the top-right corner. Shows a calendar with each week colour-coded by status:

The current week shows by default; click any day to view a previous week, and use the calendar arrows to navigate back through months. Jobs and times for the selected week are listed below the calendar.

Timesheet data comes directly from the completion details entered on each job - it flows in automatically as jobs are completed through the week. A job with no completion details won't appear until it's completed.

To submit: check the details, add any notes for payroll if needed, and click Submit at the bottom of the page. Once submitted, a copy can be printed for the driver's records. If a timesheet is submitted early, or the driver picks up an extra shift afterward, use Refresh to pull in any jobs completed since submission.

Leave

Also accessed from the top-right menu. Shows leave applications on a month-by-month calendar:

The same details are also listed in text below the calendar. Use the arrows to change month.

To apply: click Request Leave, select the leave type, and choose full days or specific times.

Submitted requests show as Pending, and an email is sent with the details. A further email is sent whenever the request's status changes (approved or declined) or its details are changed.

Raising a defect

Also accessed from the top-right menu. Select the vehicle first - any outstanding defects already logged for it appear on the right, so the driver can check whether the issue has already been reported before logging it again. Enter a description and click Submit; the details are sent to the workshop.

To return to the homepage from Timesheets, Leave, or Defects, use the arrow in the top-left corner or select Home from the menu.

Authorising a kiosk device

A kiosk device has to be authorised before it can be used - this is managed from the Authorised Devices page under Operations → Configuration.

  1. Navigate to Operations → Top Tasks → Driver's Kiosk to open the kiosk in a new tab. If the device isn't authorised yet, it will prompt for a Device Authorisation Code.
  2. Switch back to the main Central-Ops tab, find the device on the Authorised Devices list or create a new one if required, and click the key icon at the end of the row.
  3. Click Generate Authorisation Code, then copy the code shown.
  4. Switch back to the kiosk tab, paste the code into the Device Authorisation Code field, and click Submit.

Once paired, refreshing the Authorised Devices list shows the device's status as 'Paired' and the Last User column populated with whoever is currently signed in.

<aside> ❗ Authorisation can be revoked at any time from the device's Triple Dot Menu on the Authorised Devices list. Once revoked, the kiosk will be prompted for a new authorisation code the next time it tries to refresh its jobs.

Notes and alerts

The kiosk shows automated alerts for things like expiring licences and incomplete jobs. After the driver enters completion details for their last scheduled job of the week, an automated prompt reminds them to view and submit their timesheet.

Operations can also send manual notes, which appear on both the driver's kiosk and the Driver's App - viewing a note in one marks it as read in the other. Notes can be sent to:

Notes stay in the driver's inbox until deleted.
