Overview

Central-Ops includes an automatic clock-off process that checks a staff member’s last & next jobs to determine whether that staff member should be clocked on or not. If it’s found that the staff member is not currently on a job, their last job finished over an hour ago & their next job isn’t due to start in the next hour, the system will clock that person off.

The automatic clock off feature is designed to safeguard against the scenario where a staff member doesn’t clock off, then at the start of their next shift they appear to be clocked on but actually haven’t turned up. If the staff member is clocked on, the operations team will be given no warning until the customer calls looking for their bus.

If the staff member is still clocked on, the operations team will not be given any warning that something is wrong, until the customer calls looking for their bus.

How Automatic Clock-Off Works

The system runs an automatic check every hour and looks for staff members who are currently clocked on.

For each clocked-on staff member, the system evaluates:

• The most recent job they were scheduled on
• The next job they are scheduled to start (if any)

A staff member will be automatically clocked off when:

• Their most recent job finished one hour or more ago, and
• Their next scheduled job (if any) is at least one hour away

If both conditions are met, the system will clock the staff member off automatically.

Important Notes

• The system does not look at when the staff member originally clocked on.
• It only evaluates scheduled job finish and start times.
• The process runs hourly, not continuously.

Why This Is Important

Automatic clock-off helps prevent operational issues such as:

• A staff member going home and forgetting to clock off
• The system thinking a staff member is still on shift the next day
• Alerts not being raised when a driver fails to turn up for a scheduled job

Without automatic clock-off, a driver who forgot to clock off could appear as “present,” preventing no-show or late alerts from triggering.

Split Shifts

This logic also applies to split shifts.

For example:

• A driver completes a morning job
• Goes home and forgets to clock off
• Is scheduled to return for an afternoon job

If the morning job finished more than an hour ago and the afternoon job is still at least an hour away, the system will automatically clock the driver off. This ensures operations will still be alerted if the driver does not return for the later shift.

What You Might See

If you try to manually clock off many hours after finishing work, the system may behave as though you are clocking on again. This usually means the automatic clock-off has already occurred based on the job schedule.
