Vehicle damage is recorded digitally by drivers on the fleet tablet as part of their pre-departure checks. Workshop staff can then review, acknowledge, and track damage reports from within the Workshop module.
❕Note: The damage reporting workflow was significantly enhanced in 2025. Drivers now only report new damage, existing damage is displayed on the tablet automatically, and workshop staff can acknowledge reports and clear repaired areas.
When a driver completes their pre-departure checks on the tablet, a vehicle diagram is displayed showing any damage that has already been recorded against that vehicle. The driver only needs to mark any new damage they can see — previously reported areas are already shown and do not need to be re-submitted.
This significantly reduces duplicate damage reports and helps workshop staff focus on newly identified issues.
The driver can:
The Workshop dashboard includes a Damage Reports tile showing the count of driver-submitted damage reports that have not yet been acknowledged by the workshop team. Clicking the tile opens the Asset Damage Reports page, which lists all unacknowledged reports with filtering options.

Navigate to Workshop → Assets, open the asset, and select the Damage tab on the right-hand panel.
The Damage tab is split into two views:
Current Damage
Shows the most up-to-date state of damage on the vehicle as understood by the workshop team. This reflects damage that has been reported by drivers and not yet cleared by the workshop. Use this view to see what damage is currently recorded against the vehicle.
Damage Reports
Shows the full historical list of driver-submitted damage reports in reverse chronological order. Each report includes the vehicle diagram with marked panels, any driver comments, the driver's name, and the date and job the pre-departure check was associated with. Use the Next and Previous buttons to step through reports.

Acknowledging a report confirms it has been reviewed by the workshop team. Once acknowledged, the report is removed from the Damage Reports dashboard tile count, helping the team work towards zero unacknowledged reports.
To acknowledge a report:
Once a damaged area has been repaired, it can be cleared from the Current Damage view. Clearing a repaired area ensures that the next pre-departure check accurately reflects the vehicle's current condition — drivers will no longer see that area marked as existing damage.
To clear repaired damage:
❕Note: Clearing a damaged area removes it from Current Damage only. The original driver-submitted report remains in the Damage Reports history.
