An Asset Group defines the service plan for an asset comprising service intervals and the relevant checklist for each service interval.
As shown in the example below, an asset group has been set up called ‘2 Axle Auto’. The service plan for this asset group has 3 intervals and the relevant checklist has been included for each service type.
When setting up an asset group, the service schedule will repeat for each interval specified until the next service type level is reached. In the above example, this means that the B Service will repeat every 10,000kms until the next service type which is at 30,000kms. After the C Service, it will revert back to the B Service every 10,000kms and will continue this until it reaches the interval for the last service type defined. For the asset group defined above, this will be the D Service at 90,000 at which point the service cycle is considered complete and will reset from the start. Effectively this means that the service that gets scheduled at 100,000 will be the first service in the plan which will be the B Service.
Once you have created the asset group with the required service intervals, the full service cycle will calculation and be displayed on the Manage Asset Group page as shown below.
❗ Warning: The same number of intervals must be applied between each service type for both the days and kms otherwise the full service cycle won’t calculate correctly. In the example shown above, the number of intervals (known as the multiplier) between the B Service and C Service in days is 3 (365 x 3 =1095) and the same is used to calculate the kms (10,000 x 3 = 30,000). The multiplier between the C Service and the D Service doesn’t have to be the same as that between the B Service and the C Service, but the same multiplier must be used when calculating the interval for days and for kms.
Navigate to the Workshop → Configuration → Asset Groups.
Click ➕ in the header to create a new asset group.
Enter a description for the asset group.
❕Note: The description must be unique
Click + Add Service Interval to add a new line and select the service type, interval in days, interval in kms and the checklist that will be included in the workshop task when this service is scheduled.
❕Note: All fields marked with an asterisk ( * ) are mandatory
Click Submit to create the asset group.
From the Manage Asset Group page, click the edit icon ✏️ in the header.
Make the required changes, including editing the description, adding or removing service intervals or changing the service types.
❕Note: If changing the asset group description, the new description must be unique.
❕Note: Changes made to an asset group will not immediately affect the service plan for an asset that is associated to this group. The next time the asset’s plan is refreshed however, the updates will take affect.
Click Submit to save the changes**.**
To delete an Asset Group, navigate to the Manage Asset Group page, and click Delete Asset Group from the Triple Dot Menu.
❕Note: If an asset group is associated to an asset, it cannot be deleted and the menu item won’t be visible
Depending on whether any assets have been categorised with the asset group, you may be presented with one of the following options:
Scenario 1: The asset group has no assets linked:
You will be prompted to confirm that you want to delete the asset group as shown below.
Click Delete to delete the asset group.
❕Note: This action is permanent
Scenario 2: The asset group has assets linked, but they are all decommissioned:
In this scenario you won’t be able to delete the asset group unless you unlink all the assets. You will however be able to mark the asset group as inactive. Marking the asset group as inactive will mean it will be hidden from the list of asset groups you can associate an asset with.
Click Mark As Inactive when prompted.

To reactivate an asset group:
Click Mark as Active on the Triple Dot Menu from the Manage Asset Group page.
When prompted to confirm, click Mark Active.
