Overview

If a driver is entering their completion details in a job in the kiosk & they extend the job to be longer than it was scheduled to be by either entering a clock off time that is later than scheduled or by reducing the amount of breaks, they may be asked for an Approval Number and or a Reason For Difference. Approval numbers will only be asked for if the job type is school or urban.

One process that can be implemented around this, might be for the driver to ask the operations team for an approval number which they maintain external to the system (such as Excel).

At the end of the week when timesheets are generated, these approval numbers and the reason is shown on the drivers timesheet which the payroll team can cross reference to validate and then decide if they are paying them the extra time or not.

There is nothing in Central-Ops that actually validates the number entered, and it doesn’t even need to be a number – it can contain letters and other symbols, but there does need to be something entered into the Approval Number field.
